This policy is written to meet Malaysia's Personal Data Protection Act 2010, Hong Kong's Personal Data (Privacy) Ordinance, and Singapore's Personal Data Protection Act 2012. It covers this website and the enquiries you send through it.

Information we collect

When you contact us through a form, by email, or through the assistant on this site, we receive what you choose to send. That is usually your name, email address, phone number, company, and the content of your message.

If you apply for a role with us, it also includes the position you apply for and any links or materials you send in support.

Messages you send to the assistant on this site are used to generate a reply and to route your enquiry to the right person. Please do not send confidential or sensitive information through it.

Like most websites, we also collect limited technical information automatically, such as browser type, device, approximate location, and how you move through the site.

Giving us these details is voluntary, but we need your name and a way to reach you if you would like a reply. We do not buy personal data or obtain it from data brokers.

How we use your information

We use your details to reply to you, to scope and discuss potential work, to consider job applications, and to keep the site secure and working. We use technical information to maintain and improve the site. We do not use your enquiry details for unrelated marketing without your consent.

Who we share it with

We do not sell personal data. We share it only with the service providers that make this site and our work possible, and only as far as they need it: hosting, content-delivery and abuse-prevention providers; email-delivery providers; AI and language-model providers; and analytics providers.

Some of these providers are based outside Malaysia, Hong Kong and Singapore. Where that is the case, we take reasonable steps to keep your information protected.

We may also disclose personal data where the law requires it, or to establish or defend a legal claim.

Bot protection

To keep our forms and chat assistant free from spam and automated abuse, we use Cloudflare Turnstile. It runs a lightweight check in your browser and, in most cases, confirms you are a real person without asking you to do anything. This check is provided by Cloudflare and is covered by Cloudflare's Turnstile Privacy Addendum, available at https://www.cloudflare.com/application-services/terms/turnstile-privacy-addendum/.

How long we keep it

We keep the information you send us only as long as we need it to respond and to keep a reasonable record of our discussions, after which we delete or anonymise it. Where the law requires us to keep certain records longer, we keep them only for as long as that applies.

Keeping it secure

We take reasonable technical and organisational measures to protect your information, including access controls and encryption in transit. No method of transmission over the internet is completely secure, so we cannot guarantee absolute security.

Your rights

You may ask what personal data we hold about you and how it has been used, ask us to correct or delete it, withdraw your consent, or ask us to stop using it for a particular purpose. Write to our data protection contact at connect@codexgate.com. We will respond within the time the law allows. There is no charge to correct your details; we may charge a reasonable fee for an access request and will tell you before we do.

If you are not satisfied with how we handle your request, you may raise it with the Personal Data Protection Commissioner in Malaysia, the Personal Data Protection Commission in Singapore, or the Office of the Privacy Commissioner for Personal Data in Hong Kong.

We use a small number of cookies and similar technologies to keep the site working and to understand how it is used. You can control cookies through your browser settings.

Changes to this policy

We may update this policy from time to time. When we do, we will revise the date at the top of this page.

We review this policy at least once a year and update it whenever our practices change.
